Meeting type: Decision meeting

Length: 30 minutes

Who's coming: Maya (PM), Dev (eng lead), Lin (QA), Omar (marketing)

Example 1: output
Decide: mobile app launch date Goal: By the end we will decide whether to launch on the 15th or delay two weeks, and who does what next. Before the meeting: - Lin: send the list of the 3 blocker bugs with a one-line status each - Dev: estimate how long each blocker will take to fix - Omar: check whether the ads booked for the 15th can be moved, and what that costs Agenda: 0-8 min The 3 blockers (Inform, Lin and Dev) Can all 3 be fixed and tested before the 15th? 8-15 min Cost of moving the ads (Inform, Omar) What happens to the booked ads if we delay? 15-25 min Launch on the 15th or delay two weeks (Decide, Maya) Pick one, and agree what "ready" means for the other 11 bugs. 25-30 min Owners and next steps (Decide, Maya) Who tells marketing, support and leadership, and by when. Notes and next steps: Maya records the decision and owners and posts them in the project channel after the meeting.
Example 2: input

What is the meeting for? Weekly 1:1 with Sam, a new account manager, 6 weeks in. I want to check how onboarding is going and talk about the renewal he's handling for Harbor Foods.

Meeting type: 1:1

Length: 30 minutes

Example 2: output
1:1: Sam, week 6 Goal: By the end we will know what's slowing Sam down and agree the next steps on the Harbor Foods renewal. Before the meeting: - Sam: add his topics to the shared 1:1 doc Agenda: 0-10 min Sam's topics (Discuss, Sam) Whatever is on his mind first. 10-20 min Harbor Foods renewal (Decide, Sam) Where it stands, the main risk, and the next step and date. 20-27 min Onboarding at week 6 (Discuss, [owner]) What's been useful, what's missing, one thing to change. 27-30 min Recap (Inform, [owner]) Read back the action items and owners. Notes and next steps: [owner] adds the action items to the shared 1:1 doc.
Example 3: input

What is the meeting for? Kick off the website redesign with our agency. Scope is the marketing site only (not the app). Budget approved. Want launch before end of Q2.

Meeting type: Project kickoff

Length: 60 minutes

Who's coming: Our side: Priya (marketing lead), Tom (web dev). Agency: account lead and designer.

Example 3: output
Kickoff: marketing website redesign Goal: By the end we will agree the scope, roles, risks and first milestones for a launch before the end of Q2. Before the meeting: - Priya: share the approved scope (marketing site only, not the app) - Agency account lead: share the proposed timeline Agenda: 0-5 min Introductions and goal (Inform, Priya) Who's who, and the one outcome for this project. 5-15 min Scope (Decide, Priya) Confirm marketing site only, and list the pages in and out. 15-30 min Timeline to launch before end of Q2 (Discuss, agency account lead) Key milestones and when we review designs. 30-40 min Roles and approvals (Decide, Priya) Who gives feedback, who approves, and how fast. 40-50 min Technical setup and risks (Discuss, Tom) Hosting, CMS, content migration, anything that could slip the date. 50-55 min First milestone (Decide, agency account lead) What we see next, and when. 55-60 min Owners and next steps (Decide, Priya) Read back decisions and owners. Notes and next steps: Priya sends a written summary of decisions and owners to both teams after the meeting.

Tips for better results

  • Say what decision you need. "Decide whether to delay launch" gives a sharper agenda than "discuss launch".
  • List attendees with their roles. The agenda assigns each item to the person who owns that topic.
  • Send the prep items at least a day before. Most wasted meeting time is spent reading numbers that could have been read beforehand.
  • Cut an item rather than squeeze it in. If the agenda doesn't fit, move updates to email and keep the decision.

FAQ

Is this meeting agenda generator free?

Yes. Enter your email once to use it (you'll also get Something Big, our free weekly AI newsletter, and you can unsubscribe anytime). There's no account and no credit card.

What makes a good meeting agenda?

A one-sentence goal, three to six items with times that add up to the meeting length, an owner for each item, and a label saying whether the item is there to decide, discuss or inform. That's the format this tool writes.

Can it write agendas for 1:1s and retrospectives?

Yes. Pick the meeting type and it uses the structure that fits: the report's topics first in a 1:1, and went well, didn't, and changes with owners in a retro.

Will it invent attendees or data?

No. It uses only the names, numbers and dates you give it. Where an owner is missing, it writes [owner] so you can fill it in.
