Free AI SOP generator

Describe how a task gets done today, even roughly. Get a standard operating procedure anyone can follow: purpose, roles, numbered steps, checks and what to do when something goes wrong.

How it works

  1. Describe how the task is done today, in your own words: the steps, the tools, who does what, and any rules or thresholds.
  2. Pick who will use it and the format: a step-by-step SOP, a checklist, or an SOP with roles. Click Write my SOP.
  3. Answer the [confirm] questions with whoever owns the process, fill in the owner and date, and store the SOP where the team will find it.

Examples

Sample results for the inputs shown, so you can see the format and quality before you try it.

Example 1: input

How is the task done today? Refunds: customer emails support. Agent finds the order in Shopify. If under $100, agent refunds it in Shopify and replies with the template 'Refund confirmed'. If $100 or more, agent tags the ticket 'refund-approval' in Gorgias and the support manager approves or denies within 1 business day. Refund goes back to the original payment method. Tag every refund ticket with the reason.

If approved: the agent completes steps 4 and 5. [confirm: does the manager or the agent issue the refund?] If denied: [confirm: who tells the customer, and with what message?] 8. How is the task done today? Opening the cafe: arrive 6:30, disarm alarm (code in manager binder), turn on espresso machine first because it takes 20 min to heat, check fridge temps and write them on the log sheet (must be 41F or below, if not call the manager), set out pastries from the 5:45 delivery, count the till to $150, open the doors at 7:00.

Example 3: input

How is the task done today? New client onboarding for our bookkeeping firm: send welcome email with intake form, get read-only access to their bank and QuickBooks, schedule kickoff call, set up their folder in Google Drive, add them to our billing in Bill.com. The account lead does most of it.

Who will use it? New employees

Format: Step-by-step SOP

Example 3: output
Onboard a new bookkeeping client Purpose: Get each new client set up so bookkeeping can start without missing access or paperwork. Scope: All new bookkeeping clients. Roles: Account lead (does most steps). [confirm: who handles the steps the account lead doesn't?] Before you start: The client's contact details, and access to email, Google Drive and Bill.com. Procedure: 1. Send the client the welcome email with the intake form attached. 2. Request read-only access to the client's bank account and QuickBooks. Read-only means we can see the data but can't move money. 3. Schedule the kickoff call with the client. [confirm: should this wait until the intake form is back?] 4. Create the client's folder in Google Drive. [confirm: folder naming and template] 5. Add the client to billing in Bill.com. Checks: - Read-only access to the bank and QuickBooks works. - The kickoff call is on the calendar. - The client appears in Bill.com. If something goes wrong: Escalate to [owner or contact]. Owner: [name] Last updated: [date] Version: 1.0

Tips for better results

  • Include the rules exactly: amounts, times, system names. "Over $100 needs a manager" becomes a decision point people can follow.
  • Don't worry about order or grammar in your notes. The generator sorts the steps; it just can't add ones you leave out.
  • Treat the [confirm] items as the real value. They show where a new person would get stuck and have to ask.
  • Have the newest person on the team follow the SOP once while you watch. Wherever they hesitate, add a line.

FAQ

Is this SOP generator free?

Yes. Enter your email once to use it (you'll also get Something Big, our free weekly AI newsletter, and you can unsubscribe anytime). There's no account and no credit card.

What is an SOP?

A standard operating procedure is a written, step-by-step description of how a recurring task is done, so anyone doing it gets the same result. Good SOPs have a purpose, a scope, roles, numbered steps, decision points and checks.

Can it make a checklist instead?

Yes. Choose Checklist version for a tick-box list, useful for opening and closing routines or quick reference by experienced staff.

Will it add steps I didn't describe?

No. It organizes the steps you give it and marks gaps with [confirm] questions instead of inventing approvals, limits or policies. For regulated processes, have the result reviewed before use.
