Example 1: outputWebsite Rebuild and Online Booking for Hayes Plumbing
The problem
Hayes Plumbing's current website is dated and hard to use on a phone, and it brings in few calls.
What we'll do
We'll rebuild the site on Webflow so it works well on phones, let customers book a visit online, and set up your Google Business Profile and local SEO basics so people searching nearby can find you.
Scope
- A rebuilt 6-page website on Webflow, designed for mobile first
- Online booking connected to ServiceTitan
- Google Business Profile setup
- Local SEO basics for the new site
- Two rounds of design revisions
Not included
- Photography and copywriting (Hayes provides photos and service descriptions)
- Ongoing SEO or advertising after launch (suggested)
Timeline
Weeks 1-2: design and your two revision rounds
Weeks 3-5: build, booking integration and profile setup
Week 6: testing and launch
Investment
$9,500. 50% upfront, 50% at launch.
Next steps
1. You approve this proposal and the first payment.
2. We book a kickoff call and collect your photos and service descriptions.
3. Design starts the following week.
Assumptions
- Photos and service descriptions arrive by the end of week 1.
- ServiceTitan allows the booking connection on your current plan.
Example 2: inputClient, problem, plan, timeline and price: Upwork job: SaaS startup needs 5 customer case studies from interviews, 800-1000 words each, for their website. My background: 6 years B2B content writer, wrote case studies for two HR tech companies. Can deliver in 4 weeks. Rate $600 per case study.
Proposal type: Freelance proposal (Upwork-style)
Length: One page
Example 2: outputYou need five customer case studies that turn interviews into proof your buyers will trust, written at 800 to 1,000 words each for your website.
Here's how I'd approach it. I'd run each customer interview around three questions: what they were doing before, why they switched, and what changed with numbers they're comfortable sharing. Then I'd write each story in a consistent structure (challenge, solution, results, quote), so the five read as a set on your site.
I've written B2B content for six years, including case studies for two HR tech companies, so I'm used to getting specific results out of busy customers and through their approval process.
Timeline: all five within 4 weeks, delivered one at a time so you can give feedback early.
Rate: $600 per case study, $3,000 for the five.
One question: do you already have customers lined up for interviews, or should I plan time to help with outreach?
Example 3: inputClient, problem, plan, timeline and price: Internal: propose moving our 14-person support team from a shared inbox to Zendesk. Problems: tickets get missed, no reporting, two people answer the same email. Cost: about $1,100 a month for 14 seats. Setup takes 3 weeks with our IT admin Lee. Want approval from COO this month.
Proposal type: Internal project proposal
Length: One page
Example 3: outputMove Customer Support From a Shared Inbox to Zendesk
The problem
Our 14-person support team works from one shared inbox. Tickets get missed, two people sometimes answer the same email, and we have no reporting on volume or response times.
What we'll do
Move support to Zendesk, where every ticket has one owner and a status, and set up basic reporting.
Scope
- Zendesk set up for 14 agents
- Ticket assignment so each email has one owner
- Basic reports on ticket volume and response times
Not included
- Changes to other teams' tools (suggested)
Timeline
Weeks 1-3: setup with Lee (IT admin), then switch over.
Cost and resources
About $1,100 a month for 14 seats, plus 3 weeks of Lee's time for setup.
Why now
Missed tickets and duplicate replies are happening today, and without reporting we can't see how often.
Next steps
1. COO approves the budget this month.
2. Lee schedules the 3-week setup.
3. Support leads agree the switch-over date with the team.
Assumptions
- The $1,100 estimate covers the plan we need; confirm the exact tier before signing.
Tips for better results
- Describe the client's problem in their words. Proposals that open with the client's situation read as if you listened.
- List what's not included. Most scope arguments start with something neither side wrote down.
- Give your real price and terms. The generator never invents numbers, so missing ones show up as [price].
- For freelance bids, add one detail from the job post. The generator ends with a question about it, which shows you read the brief.
FAQ
Is this proposal generator free?
Yes. Enter your email once to use it (you'll also get Something Big, our free weekly AI newsletter, and you can unsubscribe anytime). There's no account and no credit card.
What should a project proposal include?
The client's problem, what you'll do, a list of deliverables, what's not included, a timeline, the price and payment terms, next steps and your assumptions. The generator writes all of these from your notes.
Can it write Upwork proposals?
Yes. Choose Freelance proposal and it writes a short first-person bid that restates the client's problem, explains your approach, includes your experience and rate, and ends with a question about the job.
Will it make up case studies or results?
No. It uses only the experience, prices and dates you give it, and it describes what you'll deliver instead of promising results you can't guarantee.
